IDX Import - Frequently Asked Questions

The IDX (Internet Data Exchange) is a state or regional system that the local MLS (Multiple Listing Services) cooperate with to upload real estate sales and rental information.

The rentworx® IDX updater is a scheduled process that will update your rentworx® listings from data found in the IDX system. Below are answers to common questions about this process.

Q. How do I setup the rentworx® IDX updater?
A. When you registered with us you had the opportunity to enter your MLS agent ID. If you gave this information to us, we used it to lookup your listings on the IDX. If you did not enter your ID at registration time, you can still edit your rentworx® profile (menu option: My Profile) and enter it there. We will retrieve all your listings from the IDX at that time, then again at regular intervals. Any changes made to your listings on the IDX will be applied automatically. This alleviates the problem of having to make updates to your listings in multiple places.
Q. How do I turn the IDX updater off?
A. There are 2 ways to accomplish this. You can turn off IDX updates for individual listings or you can turn off the scheduled updates completely for all of your listings.
Method 1: For individual listings – After logging in, select the menu option to view your listings and edit the property you wish NOT to be updated. Uncheck the box that says "Allow updates from IDX". Save your change and that listing will no longer receive automatic updates.
Method 2: For all your listings – Edit your profile (menu option: My Profile) and select NO for the "Get My Listings from the IDX" dropdown box. Save your changes.
Q. I entered my agent ID correctly and I don't see any listings under my rentworx® login. What's the problem?
A. There are several possible reasons this could happen.
Reason 1: – You don't have any listings in the IDX system currently. Also, keep in mind, it may take a few days for information in your MLS to be propagated to the IDX.
Reason 2: – You have listings in the IDX, but the data has errors or is incomplete. We require certain key pieces of information in order for an IDX listing to be considered valid (i.e. address, rental price...). If this information is missing, we will ignore the listing.
Reason 3: – We don't yet support the importing of data from your particular IDX.
Q. I made changes to some of my listings on rentworx® and noticed that those changes were gone the next day. What happened?
A. If you setup your account to receive automatic updates from the IDX then changes you make to your rentworx® listings will be overwritten in some (not all) cases. Examples of data fields we WILL overwrite are: rental price, property description, and garage type. We will assume that the primary source for the previously mentioned data fields is the IDX system. Examples of information that WILL NOT be overwritten are: property title, deposit, directions and amenities.
Q. Will changing the status of my rentworx® listings to "Not Active" disable updates from the IDX?
A. No, even though you set a listing to "Not Active", we will continue to update it from the IDX. Setting a listing to "Not Active" will make it invisible to potential tenants. You would most likely use this option if the unit has been rented.
Q. Can potential tenants see my listings after they are imported from the IDX?
A. YES, if you are a property manager who has signed up for our promotion of UNLIMITED FREE LISTINGS then tenants will see your inventory immediately. Otherwise, you must go through our payment process. After payment is received, all listings will be visible to tenant searches.
Q. What type of information will rentworx® import from the IDX for each of my listings?
A. We will import the following data fields for each listing:
Address information including street, city, state, zip and county;
Subdivision;
Number of beds and baths;
Type of property (residential, duplex, etc...);
Garage type;
Appliances included;
Amenities included;
Type of air conditioning system;
Type of heating system;
Listing date;
Available date;
List price;
Square footage;
Year built;
Property description or remarks;

This list will likely grow larger over time. It is important to note that if you do not provide the above information to your MLS, then we won't be able to get it either.
